Information we use
We store your account name, verified email, optional phone number, sign-in provider, consent choices, signup and last-seen dates, team memberships and invitations. Yard records can include horse identifiers, breeding and health records, owner names, tasks, photos, reviewed owner updates, service rates and billing reviews. Customer support notes, AI reports and security audit events help us operate the service.
Purpose and access
We use this information to provide the service, manage accounts and teams, respond to support requests and protect access. Account administration and essential messages are part of delivering the service. Optional marketing requires a separate choice that you can change in Account & team. Yard owners control who joins their team. Administrators can manage customer accounts and support requests; ordinary customers cannot access the administrator CRM.
Services that process data
The hosted app uses the ChatGPT Sites platform and its Cloudflare database and object storage infrastructure. Web sign-in can be provided by ChatGPT. When email accounts are activated, Supabase processes credentials and verification; Foalio stores an expiring session, not your password. Transactional emails use the configured email provider, including Resend when connected. Providers may process information internationally under their applicable safeguards and terms.
Optional AI and capture
Foalio AI requires your explicit permission in Account & team before sending messages and relevant yard records to OpenAI. This can include horse health notes and owner names. AI chat is held in the current page unless you save reviewed records or report a response to support. You can withdraw permission. Whiteboard recognition processes the selected image on your device. Browser speech recognition, when used, may be processed by your browser’s speech service; keyboard dictation follows your device provider’s settings. Uploaded horse photos are stored with your yard.
Device storage and retention
Essential cookies keep web sessions working. Mobile session credentials and temporary yard-round drafts use protected device storage. Web round drafts are stored in this browser. Unsubmitted drafts expire after seven days and are removed when you explicitly sign out. Records remain while the account or yard needs the service, until deleted or a deletion request is completed. Billing and audit evidence may need to be retained where required for legal obligations or disputes, with access restricted.
Your choices
You can edit account details, export yard records, change team access where your role permits, withdraw AI or marketing permission, and request account deletion. Use account deletion or contact us to request access, correction, erasure, restriction, objection or a copy of your personal information. We aim to complete verified deletion requests within 30 days. Records controlled by a shared yard remain with that yard after your membership is removed. You may raise a concern with the Irish Data Protection Commission at dataprotection.ie.
